Position Title: Volunteer and Events Coordinator

Reports To: Assistant Director

Job Category: Full-time, Exempt

Job Description: Responsible for volunteer recruitment, orientation, project planning, implementation and supervision of volunteer activities; and serves a key role in all event coordination.

Salary: $42,500 annually; excellent benefit package

Volunteer Coordinator Duties and Responsibilities:

Recruit, screen, interview and train new volunteers. Provide ongoing communications, training and supervision of preexisting volunteers, ensuring that volunteers are given appropriate training, encouragement and interaction to be successful in their positions.
Work with volunteers individually and in small groups. Assess experience, skills and limitations of volunteers to successfully engage them in meaningful volunteer service.
Orient, train, coach, motivate, measure and evaluate volunteers.
Conduct volunteer orientation sessions and develop volunteer training tools and curricula as needed.
Act as liaison between volunteers and staff to ensure that Arboretum staff are advised and prepared for arrival of volunteer groups and that all necessary tools, resources and materials are readily available.
Ensure that volunteer policies and procedures are followed and records of volunteer hours are maintained according to established procedures.
Plan and implement informal and formal volunteer recognition activities.
Create and maintain volunteer files which track individual applications, background checks, and other paperwork.
Ensure that volunteer hours are used productively and projects are completed in a timely manner.
Maintain a volunteer calendar, arranging schedules for different departments and activities where volunteers are utilized. Ensure coverage of vacancies in key stations when volunteers do not show up or are unavailable.
Complete monthly reporting summaries of volunteer hours and project status as needed.

Event Duties and Responsibilities:

Serve a key role in all aspects of special event planning and execution including logistics and volunteer management.
Work closely with staff to assess the volunteer needs for each event.
Maintain effective communication with staff, sponsors, and volunteers.
Work positively and productively in a team environment to carry out assigned activities, duties and responsibilities.

 

Minimum Requirements

A bachelor’s degree or significant work experience in a relevant field
Event management experience
Excellent communication skills, including writing, proofreading and speaking
Integrity and high degree of professionalism
Detail orientation, collaborative manner and strong work ethic
Proficiency with computers and software programs, including MS Office applications and fundraising programs
Ability to work efficiently and anticipate project needs, discern work priorities and meet deadlines with little supervision
Ability to work a flexible schedule including some evenings and weekends.
